Student Data Privacy Policy
Effective Date: [May 2026]
Free Spirit Community Arts + Media is committed to protecting the privacy and security of the young people and community members we serve. This Student Data Privacy Policy outlines how we collect, handle, and safeguard participant information in compliance with the Illinois Student Online Personal Protection Act (SOPPA) and the Family Educational Rights and Privacy Act (FERPA).
-
We collect only the minimum necessary information required to operate and manage our educational and after-school programming. For school-based and partner programs, this is strictly limited to:
Student basic identifying information (such as first and last name)
School, grade level, and program enrollment
Daily internal attendance records
-
Student data is used solely for the educational administration of our programs, specifically:
Program rostering and internal attendance tracking
Ensuring student safety during scheduled program hours
Aggregate reporting to partner schools or grant funders (all reporting is anonymous and never includes student names or personal identifiers)
We do not use student information to create personal profiles for commercial purposes, do not engage in targeted advertising, and will never sell or rent student data to third parties.
-
We do not share student data with external third parties or commercial entities. Student information is only accessible to authorized program staff and teaching artists who require access to take attendance and manage classroom safety.
-
We maintain administrative and technical safeguards to keep student information secure. Attendance logs and rosters are stored within access restricted, password protected systems. When student data is no longer needed for educational administration or grant reporting, it is securely archived or deleted.
-
In accordance with SOPPA and FERPA, parents, guardians, or school administrators may request to review or correct covered student records handled by our organization.
